Data we process
To provide the service, we process the distributor's account data (identity, contact details, billing), their product catalog, the pharmacy book (names and phone numbers), the orders, and the transcripts of calls made to the order line.
Purpose of processing
This data serves exclusively to operate the service: order taking, checking items against the catalog, recognizing calling pharmacies, tracking orders, and improving the agent's reliability. It is neither sold nor shared for commercial purposes.
Call recordings and transcripts
Calls to the order line are audio-recorded and transcribed. The recording and transcript are kept and attached to the corresponding order, so the distributor can verify and correct orders.
Technical processors
Voice processing relies on Google (Gemini Live API), which receives the call audio and its transcript in order to conduct the conversation in real time. Telephony is provided by third-party number operators. The e-mail relay (Hostinger) receives recipient addresses only — never order contents and never a transcript. Recordings and documents are stored on our own infrastructure, with no third-party storage service. The complete, current subprocessor list is kept in our code repository and provided to any DPO on request; any addition is notified to clients before it goes live.
Retention
Audio recordings and transcripts are kept for 24 months after the end of the call, then deleted automatically — the audio file is removed from storage and the transcript erased from the database. A distributor may contractually ask for a shorter window; a longer one is not offered. Order forms and their change history are kept for 10 years as commercial records: they are not deleted when the account closes, and an erasure request covers the audio and the transcript, never the numbered order form. Technical sync history is purged at 30 days (success) and 12 months (failure).

Security
Access is protected by authentication, exchanges between services are encrypted in transit, and each distributor's data is isolated from other accounts.
